2. When do we collect your personal data?
Through the registration request form: the registration request is made from the event’s website through a registration form to be filled in by the interested party with the requested data, and attaching the required information, if applicable. By completing this form, we also ask for permission to send commercial communications.
Whenever the registration requires payment, the payment process is redirected to a third party which means that NEBEXT will not have access to your bank details, we will only receive confirmation that the payment has been made.
In post-application contacts: if necessary, the registrant may be contacted for additional information or clarification of the information provided in the application.
During the event: during the event you may interact with us and provide us with additional information. We will collect information about your attendance and participation in the event when badging you at the different acts.
Complaints and claims: from the web we provide different channels to contact us to which you can address in case you have any additional questions, complaints or claims, if necessary, we will collect the necessary data to resolve your question or manage your claim.
Signing up for our newsletter: when you sign up to receive our newsletter.
Through Cookies: the web installs cookies that collect information about the browsing. We recommend that you read the cookies policy to have all the information about it.
3. Purposes and lawfulness for the processing of your data
Following table shows the purposes to use the personal information provided to us and their relation to the legitimation base, allowing us to process the data.

4. Capture and use of images during the event
You should know that Nebext, in order to promote the events and activities in which it collaborates, may capture images and/or videos of the participants in the event, this capture can be done by Nebext, directly or through contracted third parties. This data processing shall be done on the basis of legitimate interest. The captures may be published on the Internet, Nebext’s website or the event’s website, on social media pages, magazines and publications.
This activity does not confer any right of remuneration or benefit to the subjects that may occasionally appear in the captures.
5. Use of the badge
When the registration is formalized, the participant will be provided with a badge with a QR code. This QR will badge you as a participant and will allow you access to the facilities.
As an additional function, you can use this QR code as a substitute for a business card when visiting a Stand of your interest. Exhibitors that you allow to scan your badge will receive basic information about you, namely: First name, last name, contact details, company you work for and position you hold.
Some of the scheduled events allow attendees who so wish, to provide data to the entities that offer or participate in the event in question, exhibitors, sponsors and/or speakers (hereinafter “Partners”), for this, it is sufficient that the attendee is badged using the QR when accessing the conference. The badging will be voluntary and is not a requirement to access the conference. The Partners to whom you decide to transfer your data may use them to contact you and send you commercial communications.
We remind you that, through the event website, you will be able to access the information related to your badge and update it with the correct data.
6. Acceptance of the invitation
Nebext provides its Partners with invitations to the event in which they participate or collaborate. Each Partner will distribute the invitations of their property as they consider, or will provide Nebext with the contact details of the guests so that Nebext will be the one to send them.
The use of the invitation by the person concerned is an acceptance for Nebext to proceed to communicate their personal data to the Partner who owns the invitation.
Particularly, the following information will be transferred: name, surname, contact details, company for which they work, and position they hold. These details will be those that appear on their registration form.
Your data will be used by the Partner who owns the invitation to follow up on the invitations and to carry out reinforcement actions to encourage the use of the invitations.
Nebext is not responsible for the data processing carried out by the Partners, which will be governed by the privacy policies of each of them.
7. How long will we keep your personal data?
Your data will be processed during registration process. Once the registration has been confirmed, it will be processed until the end of the event.
The data related to the payment of the registration will be kept for the time necessary to comply with tax obligations.
If we have your authorization to send you communications, we will keep your data until you express your wish to stop receiving these communications or until 3 years have elapsed since your last interaction with us. We remind you that all newsletters and commercial communications have a link that allows you to unsubscribe with a simple click.
In any of the above situations, at the end of these periods, the data will be kept blocked for the legally determined period for the defence against possible claims and to comply with legal obligations that may have arisen
8. To which recipients may your data be communicated?
Your personal data shall be processed by Nebext staff. It is only intended to be communicated to public administrations for the fulfilment of legal obligations.
When a participant registers using the invitation code provided by one of our Partners, Nebext will provide this Partner with the data related to the registration.
Your personal data may be transferred to event Partners provided that you expressly authorize this transfer of data.
As explained in the Use of the badge section, when the participant authorizes a Partner to scan the QR code on the badge, Nebext will provide the specific Partner with the basic contact details contained on a business card.
9. What are your rights when you provide us your personal data?
If we process your data, you should know that your rights are:
- Right to request access to personal data: you may ask Nebext if it is processing your data and access them.
- Right to request rectification if the data is inaccurate, or complete the data we have incomplete.
- Right to request the erasure of your data.
- Right to request the restriction of its processing.
- Right to object to the processing: Nebext will stop processing personal data, with the exception that they should continue to be processed for reasons provided for in the regulations.
- Right to data portability: in the event that the user wants his data to be processed by another data controller, Nebext will enable the transfer of his data to the new data controller.
- The right not to be subject to a decision based solely on the automated processing of your personal data.
At Nebext we process data on the basis of consent and you should be aware that you have the right to withdraw your consent at any time, without affecting the lawfulness of the processing carried out prior to the withdrawal.

Whenever you consider it appropriate, you may lodge a complaint with the Spanish Data Protection Agency https://www.aepd.es/.
Remember that you are responsible for the data you provide us, therefore, your data must be truthful, accurate and must be kept up to date.
10. Data of minors
The events organized by Nebext are directed to professionals of legal age. In any case, if parents or legal representatives believe that their children or guardians have sent us personal data, please contact us by sending an email to [email protected].
11. How did we collect your data?
If you have registered for an event, the data we shall process will be the data you provided. The applicant must always provide truthful information about themselves and update their personal information as it changes, as we must have their current information.
If you have received an invitation sent by Nebext, you should know that the contact details for this mailing have been provided to Nebext by the Partner who offers you the possibility to use the invitation. This Partner must have previously informed you of this transfer of data.
The individual who provides the data must not include personal data of third parties without having obtained their prior consent and having informed them of this privacy policy, being the user the only responsible for the legality of the data provided.
12. Modifications
We will only process your personal data as set out in this document which is in force at the time, we collect your information. In the event that Nebext carries out a modification on the processing of your data we will inform you in a timely manner.
